Pythonic Corporation (“Pythonic,” “we,” “us,” or “our”) provides cloud-based artificial intelligence and document workflow automation services for businesses, with a focus on title, escrow, mortgage, real estate, and related document-intensive workflows.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, contact us, request a demo, communicate with us, or use Pythonic services through an agreement between Pythonic and one of our business customers.

This Privacy Policy does not replace or modify any master services agreement, subscription order, data processing agreement, nondisclosure agreement, or other written agreement between Pythonic and a customer. If there is a conflict between this Privacy Policy and a written agreement with a customer, the written agreement controls with respect to that customer’s use of Pythonic services.

1. Information We Collect

When you visit our website, request a demo, subscribe to communications, contact sales or support, or otherwise communicate with Pythonic, we may collect information such as:

  • Job title or role
  • Information you submit through website forms
  • Communications you send to us
  • Meeting scheduling information
  • Marketing preferences

Our public website does not currently provide consumer shopping-cart functionality or public self-service user accounts. If Pythonic makes customer portals, review tools, or other authenticated services available to customer users, access to those systems is governed by the applicable customer agreement and user permissions.

Customer Data Processed Through Pythonic Services

Pythonic customers may provide documents, emails, metadata, transaction information, and other business data to Pythonic for processing through our AI document workflow services (“Customer Data”). Customer Data may include personal information relating to buyers, sellers, borrowers, property owners, agents, employees, counterparties, or other individuals involved in real estate, title, escrow, mortgage, or related transactions.

Examples of Customer Data may include:

  • Real estate purchase agreements, amendments, addenda, closing disclosures, title documents, search packages, closing packages, entity documents, emails, and other transaction documents
  • Names, addresses, phone numbers, email addresses, property addresses, parcel information, loan information, transaction details, and related document content
  • Information extracted, classified, compared, routed, or generated by Pythonic services as part of the customer’s configured workflow

Pythonic processes Customer Data on behalf of its customers and in accordance with the applicable customer agreement, service configuration, and instructions.

2. How We Use Information

We use personal information and Customer Data for the following purposes:

Website, Sales, and Business Communications

We may use website and business contact information to:

  • Respond to inquiries
  • Schedule and conduct demos
  • Provide information about Pythonic services
  • Send requested materials
  • Manage sales and customer communications
  • Improve our website and communications
  • Maintain records of business interactions
  • Comply with legal, regulatory, accounting, and contractual obligations

Providing and Supporting Pythonic Services

We use Customer Data to provide, operate, secure, support, troubleshoot, test, validate, and improve the specific Pythonic services provided to the applicable customer, subject to the customer agreement. This may include:

  • Receiving and processing customer documents and workflow inputs
  • Classifying documents
  • Extracting relevant fields and information
  • Comparing document data to customer system data
  • Applying customer-specific business rules
  • Routing documents or exceptions
  • Integrating with customer-designated production systems
  • Troubleshooting, quality assurance, support, and service monitoring
  • Maintaining logs and records needed for security, auditability, billing, support, and contractual compliance

Pythonic does not use Customer Data to train generalized AI models, foundation models, or models used for other customers unless the applicable customer expressly authorizes that use in writing. Pythonic does not sell Customer Data or make Customer Data available to third parties for their own AI model training.

Pythonic may use Customer Data, service outputs, logs, feedback, and related operational information to configure, test, validate, troubleshoot, monitor, and improve the services provided to the applicable customer, subject to the applicable customer agreement and Pythonic’s confidentiality, security, and data-retention obligations.

3. How We Share Information

We do not sell personal information.

We may share personal information or Customer Data in the following limited circumstances:

Service Providers and Subprocessors

We may share information with trusted service providers that help us operate our website, infrastructure, communications, security, compliance, analytics, support, scheduling, and cloud-based services. These providers are authorized to use information only as needed to provide services to Pythonic and are subject to appropriate contractual, confidentiality, or security obligations.

Our public website is hosted on HubSpot, which may provide website hosting, analytics, CRM forms, meeting scheduling, and related website and marketing operations functionality. These website analytics, CRM forms, and meeting scheduling tools are separate from Pythonic’s production customer document-processing environment. Pythonic’s production services are hosted in cloud environments, including Amazon Web Services. Pythonic also uses security, compliance, communications, support, and operational tools to support its business and services.

A list of material subprocessors may be made available to customers upon request or as otherwise provided in the applicable customer agreement.

Customer-Directed Integrations

Pythonic services may integrate with systems designated by a customer, such as title production systems, workflow platforms, document repositories, email systems, or other customer-authorized systems. Information may be exchanged with those systems as necessary to provide the configured service.

Legal, Compliance, and Protection Purposes

We may disclose information if we believe disclosure is necessary or appropriate to:

  • Comply with applicable law, regulation, subpoena, court order, or legal process
  • Enforce agreements
  • Protect the rights, property, or safety of Pythonic, our customers, users, or others
  • Investigate or respond to suspected security incidents, fraud, abuse, or unlawful activity
  • Support audits, compliance reviews, insurance, corporate transactions, or professional advisory services

Business Transfers

Our website is hosted on HubSpot and may use cookies, pixels, tags, analytics tools, CRM forms, meeting scheduling tools, and similar technologies to operate the site, understand usage, improve performance, support security, and manage business communications.

Cookies and similar technologies may be used for purposes such as:

  • Enabling website functionality
  • Measuring website traffic and performance

  • Supporting demo requests, CRM forms, and meeting scheduling

We do not currently offer website chat functionality. If we add chat, chatbot, or similar interactive features in the future, information submitted through those features may be collected and used to respond to inquiries and support business communications.

You can usually adjust your browser settings to block or delete cookies. Some website features may not function properly if cookies are disabled.

5. How We Protect Information

Pythonic maintains an information security program designed to protect the confidentiality, integrity, and availability of systems and data. Our safeguards include administrative, technical, and operational controls appropriate to the nature of the information we process.

No method of transmission or storage is completely secure, and no organization can guarantee absolute security. However, Pythonic works to maintain controls appropriate for a B2B AI-as-a-service provider processing sensitive customer documents and data.

6. Customer Data Retention and Deletion

Pythonic’s services are designed around transitive document processing rather than long-term storage of customer documents.

Unless otherwise agreed with a customer, Pythonic’s default retention period for Customer Data is 30 days. Pythonic may implement a shorter or longer retention period when mutually agreed with a customer.

Operational records such as logs, audit trails, support tickets, billing records, security records, and service metadata may be retained for longer periods as needed for security, auditability, support, billing, legal, and contractual purposes. These operational records are not intended to serve as long-term storage of customer documents.

Upon termination of a customer agreement, retention and deletion of Customer Data will be handled in accordance with the applicable agreement. Where no specific contractual requirement applies, Pythonic follows its data retention and disposal policies, including deletion procedures for Customer Data.

Pythonic may suspend deletion where necessary to comply with legal obligations, preserve evidence, respond to disputes, support audits, or comply with a litigation hold or similar legal requirement.

7. Business Contact and Marketing Communications

We may use business contact information to send service information, event invitations, product updates, newsletters, or other business communications that may be relevant to Pythonic’s customers, prospects, and industry contacts.

You may opt out of marketing emails by using the unsubscribe link in the email or by contacting us. We may still send non-marketing communications, such as service, security, legal, support, or transactional messages.

8. Privacy Rights and Choices

Depending on where you live and the nature of your relationship with Pythonic, you may have rights to request access to, correction of, deletion of, or other action regarding your personal information.

To make a privacy request, contact us using the information below. We may need to verify your identity before responding.

For personal information contained in Customer Data that Pythonic processes on behalf of a customer, Pythonic generally acts as a service provider or processor. In those cases, requests concerning Customer Data should be directed to the Pythonic customer who controls the relevant data. Pythonic will support customers in responding to appropriate requests as required by contract and applicable law.

9. Do Not Track and Global Privacy Signals

Some browsers and tools offer “Do Not Track” or similar signals. Because there is not a uniform industry standard for responding to all such signals, our website may not respond to every browser-based Do Not Track signal.

Where legally required, we will honor applicable opt-out preference signals or other legally recognized privacy signals.

10. Children's Privacy

Pythonic’s website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children under 13 through our website. If you believe a child has provided personal information to Pythonic, please contact us so we can take appropriate action.

Pythonic is based in the United States, and our website and services are operated primarily from the United States. If you access our website or services from outside the United States, your information may be processed in the United States or other jurisdictions where Pythonic or its service providers operate.
